Virtual office service is often utilised when one prefers not to designate their home address as the company’s legal address, given the public visibility of the company’s address.

The virtual address service is not a rental service for office spaces and does not grant the right to use the premises where the company is located.
Obligation to have a legal address in Estonia
Every company registered in Estonia must have a legal address, even if the company’s founders are not Estonian citizens. If an Estonian company has a legal address abroad, a contact person must be designated.
Contact person service
When to use the contact person service?
The contact person service is designed for companies with an address in a foreign country. Commercial Code stipulates that a company with a foreign legal address must appoint a contact person in Estonia. This contact person must also be registered in the business registry. Upon registering a contact person, their address and contact details become the official address and contact details of the company.
Without a contact person, non-residents cannot establish a company in Estonia. This is verified both at the notary and during the company registration application process. If a contact person is missing, the business registry sets a deadline to find a contact person for the company.
The role of a contact person
The contact person’s role is to deliver procedural documents and expressions of intent directed at the entrepreneur to the company. This means that all official documents are sent to the contact person’s address, with the expectation that the contact person will forward them to the company.
The contact person acts as the company’s representative in Estonia, but their rights are limited to receiving documents addressed to the company. The individual offering the contact person service cannot conduct transactions on behalf of the company.
Who can be a contact person?
A contact person can only be appointed from among the institutions specified in law. These include auditors, solicitors, notaries, and company registry agents who have been granted the relevant license.
How to update the company’s registered office address and contact person?
If you’ve secured a virtual office address or contact person service for your existing Estonian company, it’s necessary to update your company’s legal address or contact person independently through the Estonian Business Register.
How can I receive mail that’s sent to the virtual office?
Upon subscribing to a virtual office service, you’ll need to give us an email address. Our team will then forward scanned copies of all your mail to this address.
Is it possible to subscribe to a virtual office service before my company is officially formed?
Absolutely. Local regulations mandate that foreign entrepreneurs must secure a legal address and enter into an agreement with a local contact person, a company in Estonia before they can proceed with establishing their company.
